The Summer Desk Assistant is a member of the Northern Illinois University staff directly responsible to Housing and Residential Services, the Hall Directors, and Desk Operations Graduate Assistant. The Desk Assistant is considered an integral part of the University’s effort to provide a quality experience to summer conference guests. In all activity, the Desk Assistant recognizes that service to summer guests and prospective students is a top priority.

Job Responsibilities


  1. Prepare key/card envelopes for camps and conferences
  2. Check-in and check-out of conference guests.
  3. Provide proper paperwork, camp cards, and key exchanges for camps and conference guests.
  4. Assist with building preparation, opening, and closing procedures for camps and conferences.
  5. Attend all staff meetings, in-services, and training sessions as determined by Housing and Residential Services.
  6. Be responsible for all departmental keys and properly securing doors.
  7. Complete required paperwork and assigned tasks.
  8. Prepare bulletin boards, welcome signs, etc.
  9. Serve in an on-call rotation as an after business hours contact person for conference guests.
  10. Work 10 hours a week for desk operations.
  11. Perform other duties as assigned.


  1. Be knowledgeable about Northern Illinois University and the surrounding area.
  2. Recognize and assist camp and conference guests with individual and group needs.
  3. Be knowledgeable about campus resources; and refer and direct conference guests as needed.
  4. Understand, communicate, enforce, and follow all University and Housing policies.

Guest Relations

  1. Provide assistance in emergency situations.
  2. Record and relay information to the appropriate supervisor.
  3. Assist in resolving conflicts and respond to inappropriate behavior.
  4. Foster a positive, cooperative and comfortable environment for guests.
  5. Maintain high standards in behavior and attitude.
  6. Work cooperatively with other summer staff.
  7. Provide overnight site coverage when conference groups are in other halls (pack overnight bag & stay in that hall).

Terms and Conditions of Appointment

Time Commitment

  1. The Conference Assistant employment period begins on Tuesday, May 16, 2017 and ends on Sunday, August 6, 2017. There will be the ability for some Conference Assistants to have an extended contract.
  2. Conference Assistants will live in his/her assigned space for the duration of the appointment.
  3. Conference Assistants will participate in mandatory training/in-services for Housing and Residential Services.
  4. Conference Assistants will be scheduled shifts corresponding to camp Check-In, Checkouts, Camp Preparations and On Call, Desk Shifts and/or on other projects for the department.
  5. Time off requests must be approved by a supervisor.
  6. Other employment must be approved by supervisor.

Academic and Conduct Standards

  1. A Conference Assistant must have attained a minimum cumulative 2.0 G.P.A. at the time of application.
  2. Class schedules need to be approved by a supervisor.
  3. Must be in "good standing" within the University Conduct System.


  1. A room either single or double occupancy will be provided as part of remuneration.
  2. $8.25 per hour for Desk Shifts and Check-in/Check-out shifts.


Housing and Residential Services may terminate employment under the following circumstances:

  1. Failure of a staff member to carry out responsibilities and/or terms and conditions of his/her appointment.
  2. On-campus or off-campus conduct deemed inappropriate for a University staff member, which includes violations of the Residence Life Handbook, the Code of Student Conduct, and/or other University policies.
