Summer Desk Assistant and Conference Assistant

The summer desk assistant is a member of the Northern Illinois University staff directly responsible to Housing and Residential Services, the Hall Directors, and Desk Operations Graduate Assistant. The Desk Assistant is considered an integral part of the university’s effort to provide a quality experience to summer conference guests. In all activities, the Desk Assistant recognizes that service to summer guests and prospective students is a top priority.

Job Responsibilities

Administrative

  • Prepare key/card envelopes for camps and conferences
  • Check-in and check-out of conference guests.
  • Provide proper paperwork, camp cards, and key exchanges for camps and conference guests.
  • Assist with building preparation, opening, and closing procedures for camps and conferences.
  • Attend all staff meetings, in-services, and training sessions as determined by Housing and Residential Services.
  • Be responsible for all departmental keys and properly securing doors.
  • Complete required paperwork and assigned tasks.
  • Prepare bulletin boards, welcome signs, etc.
  • Perform other duties as assigned.

Spokesperson

  • Be knowledgeable about Northern Illinois University and the surrounding area.
  • Recognize and assist camp and conference guests with individual and group needs.
  • Be knowledgeable about campus resources; and refer and direct conference guests as needed.
  • Understand, communicate, enforce and follow all university and housing policies.

Guest Relations

  • Provide assistance in emergency situations.
  • Record and relay information to the appropriate supervisor.
  • Assist in resolving conflicts and respond to inappropriate behavior.
  • Foster a positive, cooperative and comfortable environment for guests.
  • Maintain high standards in behavior and attitude.
  • Work cooperatively with other summer staff.
  • Provide overnight site coverage when conference groups are in other halls (pack overnight bag and stay in that hall).

Terms and Conditions of Appointment

Time Commitment

  • Conference Assistants will live in his/her assigned space for the duration of the appointment.
  • Conference Assistants will participate in mandatory training/in-services for Housing and Residential Services.
  • Conference Assistants will be scheduled shifts corresponding to camp check-in, check-out, camp preparations and on-call, desk shifts and/or on other projects for the department.
  • Time off requests must be approved by a supervisor.
  • Other employment must be approved by supervisor.

Academic and Conduct Standards

  • Class schedules need to be approved by a supervisor.
  • Must be in "good standing" within Student Conduct.
